Responsibilities
- Oversee daily office operations to ensure a safe, organized, and welcoming environment
- Manage office upkeep, repairs, maintenance requests, and facility-related issues
- Maintain office standards including cleanliness, layout, supplies, and general readiness
- Coordinate office moves, seating plans, and workspace changes as needed
- Manage relationships with office vendors (cleaning, building management, IT support, deliveries, security, etc.)
- Arrange courier and messenger services to support agent and transaction needs
- Ensure vendor performance meets expectations and service level standards
- Own office inventory including pantry, supplies, equipment, and branded materials
- Track stock levels and reorder supplies in a timely, cost-effective manner
- Maintain organized storage systems and ordering processes
- Ensure a high-quality office
- Support onboarding logistics (desk setup, badges/keys, supplies, welcome experience)
- Track and monitor funds being received in coordination with Finance and deal teams
- Support general administrative needs including mail distribution, shipping/receiving, scheduling, and documentation
- Develop and refine office systems to improve workflow, consistency, and efficiency
- Manage office operations budget including monthly expenses and vendor invoices with Finance
- Monitor spending, identify cost-saving opportunities, and ensure budget alignment
- Maintain organized records of contracts, invoices, and key office documentation
Requirements
- In S.MPLE where we’re transforming real estate through AI-driven support combined with human expertise.
- experience in office management, operations, workplace experience, or administrative leadership
- Proven ability to build processes and manage multiple priorities simultaneously
- Proficiency with Google Workspace / Microsoft Office and basic office systems/tools
